The County of Grande Prairie No. 1 Library Board is seeking a contract bookkeeper for the 2025 financial year, with the possibility of extension.

Services Required:

  • Set up of fund accounts and processes for document submission.
  • Maintenance of Library bookkeeping on Accounting Software system including chart-of-accounts, budget tracking, and financial reports.
  • Basic Accounts Payable services: including vendor maintenance, entering approved invoices, preparing cheques and preparing Accounts Payable vouchers for files.
  • Basic Accounts Receivable services: including preparing invoices, entering/rebilling of NSF cheques, etc.
  • File maintenance
  • Monthly financial services and reporting: including reconciling bank accounts, credit card accounts, and merchant accounts; entering/rebilling of NSF cheques, preparing monthly financial reports for the Library Board, preparing journal entries, reviewing account details to ensure accuracy, etc.
  • Annual accounting services: to prepare financial statements and related working papers for Auditors. Responding to auditor's inquiries during audit process. Preparation of financial statements and related working papers includes the reconciliation of all balance sheet accounts including banks, accounts receivable, accrued accounts receivable, prepaid expenses, inventory, capital asset additions and deletions, GST payable/receivable, trade accounts payable, accrued accounts payable, deferred revenues, deposits payable/receivable and reserve accounts
  • Annual preparation of GST Return: Responding to inquiries from Revenue Canada regarding GST Returns.
  • Additional Services:
    • Assisting with forecasting for current and future budgets.
    • Attendance at Library Board meetings if required.
    • Maintaining strict confidentiality in regard to Library financial information, as well as all personal information in the pursuance of duties for the Library in compliance with FOIP and any other applicable laws and regulations

About us: The County Library Board operates four community libraries in the hamlets of Elmworth, Hythe, La Glace, and Valhalla. The Board has an annual operating budget of approximately 1.3 million. Payroll services are not required at this time.
